Studio Policies and Etiquette 

Waiver:

Everyone entering the studio aside from those dropping-off and picking-up must sign our waiver. When you create your account you will be required to agree to our Liability Waiver.

Closed studio learning environment:

From our experience, most students perform and learn better in classes when family members or friends are not watching. Please respect our students’ learning environment by leaving the studio during their class time

 

Parking:

STREET PARKING ONLY. Aside from two visitor spots, all other parking stalls within the lot are reserved for owners of the surrounding units. Please respect our neighbours and do not park in their spots. Parking in reserved spaces may result in a ticket or your vehicle being towed

 

Pick-up and Drop-off:

Parents/guardians are required to stay with their child (12 yrs and under) in the entrance area until class time. This area is quite small at our studio so we ask that you come no more than 10 minutes prior to the start of class and supervise your child to ensure there are no disruptions to the classes that are running. Participants or observers are not permitted on the mats prior to the start of their class time. Children 16 and under are not allowed to leave the building unless a parent or guardian has entered the building for pick-up. We ask that parents do not enter the building until the class is completed.

 

Food / Drinks / Shoes:

No food, drinks or shoes are permitted on the mats past the entrance area. Properly sealed water bottles are allowed in the designated areas and are to be kept off the main floor. NO GLASS in the studio please.

 

Bikes:

Biking is strongly encouraged, but please be sure to use a theft-proof bike lock and secure it to the bike rack provided next to the green garbage bin at the side of the building. No bikes are permitted within the studio at any time.

 

Neighbourhood:

We are located in Rock Bay. At night the area may attract individuals with bad intentions, therefore please do not leave any valuables in your car and be sure to lock your bike with a theft-proof lock

 

Attire:

  • Please wear comfortable, close-fitting clothes with sufficient coverage that allows you to move freely and invert without your face becoming obstructed. Clothing with zippers or any other metal are not allowed on the equipment

  • If you are participating in a class practicing aerials, we recommend pants that cover the knees and long sleeve shirts at times

  • Hair must be tied up and out of your face

  • Please remove all jewelry including rings, necklaces, bracelets, large earrings, etc. Minimal facial piercings, well covered naval piercings and small studded earrings are allowed

  • For most activities, we recommend that no socks be worn for safety reasons. However, there are certain skills your instructor may give the option to use socks for

 

Attitude and Etiquette:

  • When in class we encourage an “I feel this” type of language as this has a less accusatory type of dialogue that encourages success

  • Please be on time and ready to go to your class. Do not arrive any more than 10 minutes before your class

  • Students are not permitted to instruct or spot each other unless given permission to do so by your instructor. Words of encouragement are highly encouraged ;)

  • Please be respectful of the equipment and leave the space as you found it

  • Students under the influence of drugs or alcohol are not permitted on any equipment and will be asked to leave the studio. No refunds will be provided

  • Always be aware of your surroundings: look before you run, check before you spin. Let's keep everyone safe!

  • Kids classes - Disruptive students: At the discretion of Island Circus Space staff, any students who are disruptive to the learning and safety of others in the class will be required to have a one-on-one support coach with them for the duration of the class to ensure the best experience for all participants. The additional coach will be at the expense of the family at $35 + GST per hour of class in addition to the regular class fee. This additional fee will be calculated and added to the future interim payments, and any initial outstanding amount for any classes that have already been paid for without the additional one-on-one support coach fee will be charged immediately. No refunds will be provided for any unattended classes

 

Media, photos, and use of cameras in the space:

  • Please be aware that we have a strong online presence and frequently post photos and videos from our classes. Our Waiver serves as a media release, but please speak to us in person or send us an email if you wish to remain out of all media

  • Cell phones and cameras are not permitted during class time unless otherwise specified by your instructor; please respect the intellectual property of your instructors, ask them before posting. When given the okay to take photos and videos, social media posts are encouraged and we love when you tag us. #IslandCircusSpace


 

Open Training:

Please read our updated Open Training Guide on the Open trainings and Jams page. Please note that Open Training currently requires you to bring your own apparatus.

Time - Please make sure you arrive within the first 15 minutes of evening Open Training. If no one has arrived within 15 minutes of the start time the studio will be locked. Only one person in addition to the facilitator must be present in order to run the opening training

 

Space -  Certain space consuming apparatuses such as Cyr wheel, and Chinese Pole are not permitted during regular open trainings as there are specific open trainings for these disciplines. 

 

Aerials - In order to train aerials you must be currently registered in aerials classes or you must be approved by designated Island Circus Space staff before access to an aerial point is granted. This time is to be used to integrate skills learned in class with safe exploration in the discipline. Students are not to put up or take down any aerial equipment, you must ask a supervisor for assistance. Please contact us if you wish to train aerials during open training.


 

Weather Conditions:

If School District 61 is closed, then so are we. You will be notified by us via email in the event of any cancellations due to weather, and classes will be refunded or deferred at the discretion of Island Circus Space. We understand that conditions may vary throughout the lower island, and the safety of our participants is our priority. If we are still open but it is unsafe for you to come to class, please contact us

Before you join us again, we need to make you aware of a few changes we have implemented to provide as safe a space as possible for you to circus in

Covid-19 updates

Things we are doing to reduce the spread of COVID-19:

  • Class sizes will be limited to ensure social distancing can be maintained at all times

  • Our instructors will refrain from teaching skills which require spotting to further limit any contact between individuals within the space

  • Students will stay within designated areas to ensure social distancing is maintained

  • Staff will be routinely wiping down high touch surfaces such as doorknobs, etc.

  • Equipment will be sanitized or rested between uses 

  • Students may choose to bring their own apparatus to use during class. It is the sole responsibility of the student to ensure that the apparatus/equipment they supply is void of defects and does not pose a safety hazard to themselves or others.

  • When weather permits, the large garage door will be opened during class to improve air circulation which has been shown to reduce the spread of COVID-19. 

  • Strict health checks and travel restrictions will be in place for staff and students

  • Our drop-in class cancellation policy will be temporarily amended

  • Instructor volume will be kept low. Students must keep their voices down throughout the class

  • Room capacity limit signs have been posted in each room to ensure there is adequate space to allow for proper social distancing

  • Clear markings have been placed within the space to ensure students stay within their designated zones

 

Masks:

  • At this time, masks are still required to be worn at all times when in the space

 

Rosin and chalk:

  • Rosin: if you use rosin, you must provide your own to use during class and open training. It must be contained in a sealable container that does not leak. Rosin should never be placed directly onto any mats

  • Chalk: liquid chalk only, no dry chalk. If you require chalk, you must bring your own for use during the class

 

Memberships and class passes:

  • All memberships will reactivate the day prior to when classes resume. This does not mean you will be charged on that day, that is just the date that your account will be reactivated. It will be as if the time we were away never happened and your membership will pick up with the same amount of time and classes remaining.

  • All passes will have extended expiry dates.

Check-in Procedure:

  1. Reserve your spot in a class online - No walk-ins allowed

  2. Confirm that all of the statements in the COVID-19 illness policy (below) are true as of the time that you/the participant enter the studio.

  3. Arrive no earlier than 5 minutes before your class start time - the door will be locked and you must wait outside until you see the green “GO” sign before you enter. Please do not enter the studio prior to 5 minutes before the start of your class.

  4. Place your items in the cubbies provided at the door. If you can, please leave your bags in your car or at home and only bring in valuable/essential items

  5. Sanitize your hands

  6. Any items you bring on the floor with you (water bottle, phone, rosin, chalk) must remain next to the wall within your zone at all times during class. 

  7. Students must arrive in appropriate class attire - no changing at the studio (see our clothing policy on our website for full details on what to wear)

  8. Please bring your own yoga mat to use during the class (there will be some at the studio if you forget, but we strongly encourage everyone to bring their own)

  9. The door will be locked after the first 10 minutes of class - if you are more than 10 minutes late to class you will unfortunately not be permitted to enter and no refund or credit will be provided

When class is over:

  1. Sanitize the mats that you used 

  2. Sanitize your hands

  3. One at a time, swiftly gather your items from your cubby and exit the front door

  4. The studio must not have any students in it for 10 minutes between classes. This means that students must exit the studio between classes, even if they are registered for back to back classes. To accommodate for this, classes will now run for 55 minutes (it may still show as 1 hour on the schedule, it will just end 5 minutes earlier).

  5. Please avoid gathering and socializing in the space and outside near the entrance. We love you all and can’t wait until we can get back to hanging out with you, but for now we appreciate your assistance in keeping everyone safe

 

 

Please remember that even with all of the sanitation protocols in place, we can never 100% guarantee against contracting the virus. By registering for classes you are accepting this as a risk. It is everyone’s individual duty to prioritize the health of our community and to recognize when we should refrain from entering the studio.

COVID-19 Illness Policy

Prior to entering the studio for each class, students must confirm that all of the following statements in the COVID-19 illness policy are true as of the time that you, the participant enter the studio:

 

  1. I am not experiencing any new or unexplained symptoms over the past 7 days including the following: fever or chills, cough, difficulty breathing, sore throat, muscle aches, headache, extreme fatigue, diarrhea, pink eye, runny nose or a loss of taste or smell

  2. I have not travelled outside of British Columbia nor have I been in close contact with anyone who has traveled out of British Columbia within the last 14 days

  3. I have not been in an airport (domestic or international) nor have I been in close contact with anyone who has been in an airport within the last 14 days

  4. I have not been in contact with anyone who has a confirmed diagnosis of COVID-19

  5. I have not been advised to obtain testing for COVID-19 for any reason within the last 14 days

 

*In the event of a pandemic or public health concern, the following cancelation policy will overrule the standard policy (the following policy is subject to change):

Adult Drop-in Classes and Private Lessons:

  • Students may choose to cancel their class registration up until 48 hours before the start of the class at no charge. Within 48 hours until the start of the class, no refunds or credit will be provided.

  • Refunds for cancellations within the 48 hour period prior to the start of the class will only be permitted should the participant begin to exhibit symptoms associated with COVID-19. To receive credit for the cancelled class(es), you must cancel your reservation online (the system will inform you it is a late cancellation and that you will not receive any credit for the cancelled class - proceed with the cancellation) and inform us by email as soon as possible. Once we receive your email, the pass will be returned to your account for future use (no cash or credit card refunds will be provided).

  • If you cancel a booking due to exhibiting symptoms of COVID-19, your account will be put on an automatic 2 week suspension and you will not be permitted to enter the studio until the 2 weeks have passed. All your other class reservations within this 2 week period will be cancelled and returned to your account. No fees will be charged during this time.

 

Session Based Classes, Camps and all other bookings:

  • Upon registration, full payment for the entirety of the session is required (whether in installments or as a lump payment as determined by Island Circus Space) and there is no option to withdraw your registration or cease payments, regardless of attendance. 

  • In the event of a government mandated shutdown of our programs, any future scheduled payments will be halted and classes will be cancelled. Refunds will be provided for any classes Island Circus Space was unable to provide, for which payments have already been received, in the form of account credit in the full amount of funds due for the cancelled classes (credit card refunds will be provided upon request minus a $20 processing fee).

  • Following a forced shut down, should Island Circus Space be able to re-open as advised by the government, this policy remains active and any remaining payments for registration will resume for all classes that Island Circus Space is able to provide.

Class Cancellations, Membership Agreements and more 

 

Registering a user account:

In order to purchase memberships, classes or series of classes and passes, you must create a Mindbody user account (“Account”) by selecting a username and a password.  You agree and understand that you are responsible for maintaining the confidentiality of your username and password. Your username and password, together with any other user information you provide, form your “Profile Information” and allow you to access your Account. You agree to provide true, accurate, current and complete information about yourself, and you may not misrepresent your Profile Information.

 

You agree not to disclose your password to any third party. You are solely responsible for all activities that occur under your Account or under your Profile Information. If you become aware of any unauthorized use of your Account or Profile Information, you are responsible for notifying ISLAND CIRCUS SPACE immediately.

 

By providing us with your e-mail address, you agree to receive all required notices electronically. It is your responsibility to update or change that address as appropriate.

Should you request to delete your Account, your Account will be fully deleted and will not be accessible for reactivation.

 

Expiration:

All purchases expire after a set length of time:

  • 2 WEEK TRIAL - available to new students only, expires 14 days from when the first class is booked

  • 1 CLASS expires 6 months from the date of purchase

  • 5 CLASSES expire 12 months from the date of purchase

  • 10 CLASSES expire 12 months from the date of purchase

  • 1 PASS - OPEN TRAINING expires 6 months from the date of purchase

  • 10 PASS - OPEN TRAINING expires 12 months from the date of purchase

  • 1 PASS - TODDLER AND ME expires 6 months from the date of purchase

  • 3 MONTH MEMBERSHIPS expire 3 months from the date of purchase

  • 6 MONTH MEMBERSHIPS expire 6 months from the date of purchase

  • 12 MONTH MEMBERSHIPS expire 12 months from the date of purchase

(memberships will not auto-renew once they expire and you will need to purchase a new one)

 

Gift Cards:

Gift cards can be purchased on the Website in any denomination and do not expire.  Once a gift card has been used towards a purchase, the purchase will expire as outlined above.

 

Pricing Changes:

All prices are subject to change.  Any purchases made will be honored and the price it was purchased for, regardless of whether there has been a price increase since the purchase.

 

Cancellation & Refund Policy:

Island Circus Space reserves the right to cancel and reschedule classes or substitute teachers as is required.

Memberships: By purchasing a membership, you agree to have the monthly fee automatically withdrawn from your account each month for the duration of the contract agreement that you select. A $20 fee will be charged for any late payments or declined transactions. Cancellations of your membership are provided only in extenuating circumstances with a fee the equivalent to 50% of the value of the remaining unpaid membership monthly fees. Once a payment has been processed, no refunds will be provided for that amount. In order to terminate your contract, you must notify Island Circus Space by email and allow 7 days processing time for the cancellation to take effect. Any payments which have been processed or are scheduled to be processed within the next 7 days after giving notice are final and non-refundable.

Classes and Passes: Refunds, holds, transfers or extensions are not provided for class passes, open training passes, or toddler and me passes. All sales are final.

Session classes, Circus Camps, Workshops and Private Lessons: Up until 48 hours from the start date of the first scheduled class you are eligible for a full refund minus a $20 processing fee or full account credit. Within 48 hours to the start of the first class, a refund of 50% of the total value of the course is provided or 75% account credit (except in the presence of a note from a medical doctor you are eligible for a refund minus a $50 fee). No refunds are provided once the class has begun (except in the presence of a note from a medical doctor, a fee the equivalent to 50% of the full cost of the remaining classes in the session will be charged).

 

Circus Parties and Group Bookings: Up until 10 days prior to the event date the fee is fully refundable minus a $20 processing fee or the date and time can be switched at no charge. From 10 days to 48 hours prior to the event date the fee is 50% refundable and the date and time can be switched at no charge. Within 48 hours of the start of the event date the deposit is non-refundable and the date or time can be switched for a $30 fee.

Online classes: Up until 24 hours from the start of the first scheduled class or session you are eligible for a full refund or account credit. Within 24 hours to the start of the class or session, no refunds, holds, extensions or transfers are provided (except in the presence of a note from a medical doctor you are eligible for a refund/credit in the amount of 50% of the total cost).

 *In the event of medical emergencies, exceptions to the above cancellation policies may be considered. A doctor's note from a medical doctor must be submitted for consideration.

 

Hold Policy:

Classes, passes and membership add-ons are not eligible for holds or extensions. Holds are only applicable to memberships. To place a hold on your membership, you must give written notice of the hold to Island Circus Space via email to info@islandcircusspace.com, providing us with the start and end date of the requested hold. You must request the hold a minimum of 2 weeks prior to the desired hold time in order to be approved. Please note that holds can only be provided in 7 day increments.

  • 3 MONTH MEMBERSHIPS are eligible for one 7-day hold.

  • 6 MONTH MEMBERSHIPS are eligible for two 7-day holds.

  • 12 MONTH MEMBERSHIPS are eligible for four 7-day holds.

 

Booking and Cancelling Classes (on your behalf):

Students are responsible for reserving their space in a class by going online and booking themselves into the class of their choice. Island Circus Space is not to be held responsible if a class reaches capacity and you are unable to participate in the class. If you cancel your visit prior to 24 hours of the start of the class, the class you purchased will be returned to your Mindbody account and available for future use until the expiry date. No refunds, transfers, holds or extensions are available less than 24 hours prior to the start of the class.

If there are fewer than two students booked in a class within 24 hours prior to the start of the class, you will receive notice via the email address linked to your Mindbody account. All students are responsible for confirming that a class is running by referencing the Mindbody class schedule. Any cancelled classes will show as cancelled in the Mindbody schedule.

 

Cancelled Classes (on our behalf):

We try our best not to reschedule and/or cancel classes, however, we reserve the right to cancel reschedule, and replace classes as required. We like to look at changes in the schedule as an opportunity for our students to either try a different class, teachers and to open up their repertoire. Students will have the class credit returned to their account if the class is cancelled on the behalf of ISLAND CIRCUS SPACE.

By purchasing a membership, you agree to have the monthly fee automatically withdrawn from your account for the duration of the contract agreement that you select. A $30 fee will be charged for any late payments or declined transactions. Refunds are provided in extenuating circumstances with a fee the equivalent to 50% of the total value of the membership over the length of time your contract spans. The fee remains the same and does not change depending on the length of time remaining on your contract. In order to terminate your contract, you must notify Island Circus Space by email and allow 48 hours processing time for the cancellation to take effect. Any payments which have been processed or are scheduled to be processed within the next 48 hours are final and non-refundable.
